Speaker Instructions

All talks are scheduled for 25 minutes with the exception of joint talks that are scheduled for a combined time of 30 minutes.

Presentations will be accepted onto the cloud server if they are submitted at least 1 full business day prior to the conference start time. After that time, you will need to bring your presentation materials on physical media, such as a USB flash drive.

An A/V representative will be available in your assigned session room 30 minutes before start time to test presentations. Using the Conference Presentation Server enables event support staff to load and test presentations on the equipment that will be used during the conference. Furthermore, having all presentations preloaded on the conference laptop allows for a more seamless transition between multiple presentations during a session.

Please fill out the entire form:

  • You will be required to enter your preferred email address and full name.
  • Select the conference will be attending from the drop-down menu. If you do not see your conference, check with your conference coordinator to verify that they are working with UCSB Conference Services.

  • Select the date of your presentation.
      Note: Only one presentation file can be uploaded at a time. If you have multiple presentations (whether same day or different date), please submit an additional form for each presentation.
  • Select the presentation file you wish to upload by clicking on the "Add File" button. This will open up a file window, where you can navigate to and select the file you wish to upload, directly from your Google Drive or your local desktop. Once you have chosen the file, click on "Upload."
    1. The upload utility currently has a 500MB limit. If your presentation is larger, please contact Jim Gallagher (jim_gallagher@ucsb.edu) or Nobu Matsuo (n_matsuo@ucsb.edu) for assistance.
  • When you are finished click on the "Submit" button. You will receive an email confirmation of your submission.

IMPORTANT NOTE: We highly recommend that you bring a copy of your presentation and all associated files (image, video, audio files) on a portable media or your own laptop, as a backup, even if you upload your presentation to the Conference Presentation Server. Also, please be sure to bring the appropriate HDMI video adapter if you are using a Mac laptop.

A Note on Security: although you are uploading to a web server, downloading privileges are password protected and available only to Instructional Development's IT Staff.
